The Rule That Actually Fails Inspections

Most businesses meet MTD's visible requirement — they file through software. The requirement that quietly fails is digital links.2

Once data is in your digital VAT records it must move between systems electronically. Any point where a human reads a number from one place and types it into another breaks the chain, even if the number is correct.

Linked cells, formulas, imports, API transfers, emailing a spreadsheet for import.

Retyping a total into the return, or copying and pasting between spreadsheets.

The common break is the last step. Records are digital, the filing is digital, and one person copies the nine box totals from a spreadsheet into the software by hand. Everything looks compliant and the chain is broken at the final link.

Spreadsheets Are Allowed

MTD did not ban spreadsheets. It banned manual transfer. A spreadsheet connected to filing software by bridging software satisfies the rule, and for many small businesses that is a perfectly reasonable setup.

What matters is tracing the path a figure takes from source document to submitted return and confirming no step in it depends on someone typing.

What Must Be Digital

The requirement covers specified VAT records rather than every scrap of paper: your business details and VAT registration number, the schemes you use, and for each supply the time, value and rate of VAT. Underlying invoices do not all have to be digitised, though many businesses do so anyway.1

The Income Tax Timetable

MTD extends beyond VAT. Income Tax Self Assessment phases in from April 2026, with the threshold stepping down in April 2027 and again in April 2028, so businesses enter scope in waves according to qualifying income.3

Two things to note. It is based on qualifying income rather than profit, so a business with slim margins can still be caught. And the bands have been revised before, so confirm the current figures on GOV.UK rather than working from a number quoted elsewhere.

Fix the links once. A business already MTD-compliant for VAT with genuinely unbroken digital links has done most of the work for Income Tax. The reverse is also true: a broken chain now becomes a bigger problem later.

Penalties Are Points-Based

Late submission accrues points rather than an immediate fine, with a financial penalty once the threshold is reached, and late payment penalties operate separately. The practical effect resembles the US position in penalties and interest: filing on time matters independently of whether tax was due.

The Five-Step Method

  1. Confirm you are in scope. MTD for VAT covers all VAT-registered businesses, so registration alone brings you in regardless of turnover.
  2. Keep the specified records digitally. Hold the required VAT records in software or a spreadsheet rather than on paper or in a manual ledger.
  3. Trace every digital link end to end. Follow your data from source to submission and identify any point where a figure is retyped or copy-pasted, because that breaks the chain.
  4. File through compatible software. Submit returns via software that connects to HMRC, using bridging software if your records live in spreadsheets.
  5. Diarise the Income Tax phases. Check which qualifying income band applies to you and note whether your start date falls in April 2026, 2027 or 2028.
